Executive Secretary for LIGCSA
Job Details
The Long Island Golf Course Superintendents Association (LIGCSA) is seeking a highly organized, dependable, and professional Executive Secretary to support the Association’s leadership, membership, programs, communications, financial administration, and day-to-day operations.
The Executive Secretary will serve as an important point of contact for Association members, Board members, vendors, industry partners, and other stakeholders. The ideal candidate is detail-oriented, proactive, personable, and comfortable managing multiple priorities while maintaining a high level of accuracy and professionalism.
KEY RESPONSIBILITIES
Provide administrative and organizational support to the LIGCSA Board of Directors and Association leadership.
Maintain accurate membership records, contact information, correspondence, and Association
files.
Coordinate Board meetings, membership meetings, educational events, golf outings, and other Association activities.
Prepare meeting agendas, notices, correspondence, minutes, and related materials.
Manage calendars, meeting schedules, registrations, and event logistics.
Communicate professionally with members, sponsors, vendors, golf courses, industry representatives, and other stakeholders.
Assist with membership communications, newsletters, email announcements, website updates, and social media as needed.
Manage the Association’s bookkeeping and financial administration using QuickBooks, including recording income and expenses, invoicing, processing payments, reconciling accounts, and maintaining accurate financial records.
Assist the Treasurer with monthly financial reporting, budgeting, account reconciliation, and
preparation of financial information for Board meetings.
Track membership dues, sponsorships, invoices, payments, renewals, outstanding balances, deadlines, contracts, and Association obligations.
Maintain organized digital and physical records and provide general administrative support to ensure efficient Association operations.
Attend Association meetings and events.
Job Requirements
Previous experience using QuickBooks is required.
Working knowledge of bookkeeping practices, including accounts receivable, accounts payable, account reconciliation, invoicing, and financial recordkeeping.
Excellent organizational, time-management, written, and verbal communication skills.
Ability to maintain accurate records and manage financial and organizational information.
Comfortable working independently with dependable, set weekday “office” hours for Association correspondence.
Strong attention to detail, follow-through, professionalism, and initiative.
Ability to coordinate multiple projects, deadlines, and stakeholders simultaneously.
Experience with nonprofit organizations, professional associations, golf, or the turfgrass industry is a plus, but not required.
IDEAL CANDIDATE
The successful candidate will take ownership of responsibilities, communicate effectively, anticipate needs, and enjoy working with people. The candidate should be comfortable handling both administrative responsibilities and day-to-day bookkeeping through QuickBooks. Knowledge of the Long Island golf and turfgrass community is a plus, but the most important qualities are organization, financial accuracy, reliability, professionalism, and initiative.
Salary Range
Up to $35 per hour
